Struggling to Manage Your Emails? How Can You Easily View Categories in Outlook?

Looking for a way to see your color categories in Outlook? It’s pretty straightforward. Let’s dive right in.

  1. Open Outlook and head to your Inbox. Or, you can pick any folder where you’ve got at least one item.
  2. Look for the Home tab. You’ll find it at the top.
  3. In the Tags section, there’s an icon with four colored squares. Click on that.
  4. A drop-down menu pops up, showing up to ten categories you’ve used recently.
  5. Select “All Categories” from that menu to open a new window where all your categories are laid out. You can see their colors and names.

Now, if that Categories button is grayed out, this usually means your current folder is empty. Just switch to another folder with items. If it’s still inactive, you might not have the right permissions, especially if you’re using a shared mailbox.
