MC1492153 Change to the default email sending domain

Summary

  • Viva Glint survey notification emails will change their sender domain to your organization’s default domain if no custom sending domain is configured.
  • Organizations that already use a custom sending domain for Microsoft 365 notifications are not affected by this change.
  • Email filtering, allowlists, and sender-based rules may need to be updated to recognize the new sender domain.
  • IT should review domains in Microsoft 365 admin center, configure a custom sending domain if needed, and validate SPF, DKIM, and DMARC for reliable delivery.

Microsoft Message

Beginning January 1, 2027, Viva Glint survey notification emails will use your organization’s default domain if you have not configured a custom sending domain in the M365 admin center, instead of [email protected]. Your default domain may look like contoso.onmicrosoft.com.

We recommend configuring a custom sending domain so survey communications use a domain associated with your organization. This helps recipients recognize your emails and reinforces your organization’s identity.

Rollout Schedule

Global: We will begin rolling out on early January 2027 and expect to complete by mid-January 2027.

Impact on Your Organization

Organizations without a custom sending domain: Recipients will see Viva Glint survey notifications coming from your organization’s default domain. Email filtering rules that reference the current sender may need to be updated.

Organizations with a custom sending domain already configured for Microsoft 365 notifications: This default-domain change does not apply.

Action Required/Recommendations

Before January 1, 2027:

  1. Review your current domain. Work with your Microsoft 365 or Exchange administrator to confirm the domain your organization will use. Review your domains in Microsoft 365 admin center > Settings > Domains.
  2. Add a custom domain if needed. Follow Add a Custom Domain to Microsoft 365 to verify ownership and configure the necessary domain records.
  3. Select your custom domain for Viva Glint notifications. Use Settings > Org settings > Organization profile > Send email notifications from your domain; see Select the domain to use for email from Microsoft 365 products. This setting also applies to other supported Microsoft 365 products.
  4. Validate email authentication. Ask your email administrator to check SPF, DKIM, and DMARC using How email authentication works in Microsoft 365.
  5. Review spam filters and allowlists. Ask your IT team to review spam gateways, inbox filters, and approved-sender rules for the expected sending domain; consult Allowlist information for Viva Glint.
Where necessary, add the specific sending domain to your organization’s approved-sender configuration, following your security policies. Scope any allowlist changes to your specific sending domain—not all of onmicrosoft.com—and retain authentication, phishing, and malware protections.
  6. Prepare your survey teams. Inform survey administrators and recipients of the sender change, update internal guidance, and validate notification delivery before your next survey launch.
