MC1476322 Customized PowerBI reports behavior after major report updates

Summary

  • Customized Viva Insights Power BI reports will remain tied to the report version they were created from and will not auto-migrate to newer major report versions.
  • Users who need current data or new capabilities must create a new customized copy from the latest out-of-the-box report version.
  • Older customized reports may stop receiving refreshed data, and users may see a notice that a newer version is available.
  • No admin configuration or tenant setting changes are required, but support teams should be aware of the behavior change.
  • Review internal guidance and update documentation so report owners know when to recreate customized reports.

Microsoft Viva Insights customized Power BI reports will stay tied to their original versions and will not auto update when major changes occur. Existing reports stay accessible, but older versions may stop receiving refreshed data. Report owners must build new customized copies from the latest versions to access current features and data. Rollout is underway and administrators should update internal support guidance to assist users who receive version notifications.

Administrator impact: No direct administrator action is required.
End user impact: Users must create new customized reports from the latest versions to access updated data and features.
Score rationale: This change affects report data freshness and user workflows without requiring administrative configuration.

Microsoft Message

Microsoft is updating how Viva Insights customized Power BI reports are managed when major out-of-the-box report updates are released. Customized reports will remain associated with the report version from which they were originally created and will not be automatically migrated to newer report versions.

This approach preserves report integrity and prevents customizations from breaking or behaving unexpectedly when significant report updates are introduced. Users retain access to their existing customized reports while maintaining control over when to adopt newer report versions and capabilities.
