Tools Needed

  • Google Sheets – for organising company and role data.
  • ChatGPT (GPT-4 Turbo API) – for training the chatbot.
  • Internal Docs/Resources – for storing onboarding content.

Step 1: Organise Your Data for ChatGPT Integration

Create a Structured Google Sheet & organise the onboarding data into well-defined tabs:

  • Company Info: Include company values, mission, and vision.
  • Role Responsibilities: List detailed responsibilities, necessary tools, & expectations.
  • Resources: Provide links to any internal documents, training materials, and SOPs that the new hire may need.

Ensure Data is Concise and Clear by formatting the data in each tab to be simple, clear, and easy for ChatGPT to pull from (e.g., in bullet points or short paragraphs).

Step 2: Train ChatGPT Using the Organised Data

Integrate Data with ChatGPT

  • Export the Google Sheets data into a format that can be fed into the ChatGPT API (CSV or Excel).
  • Set up ChatGPT with the trained data, ensuring it has access to the specific details for the role and company.

Provide a Custom Prompt for Onboarding

Use the structured data in ChatGPT to generate a prompt that will guide the onboarding process.

Example Prompt

“Welcome the new hire, introduce the company’s values and mission (from Company Info), explain the role’s key responsibilities (from Role Responsibilities), and guide them to the relevant resources (from Resources).”

Step 3: Test ChatGPT’s Responses

Test the chatbot by asking role-specific and company-related questions to ensure it pulls the correct data, such as:

Refine as Needed

Based on test results, adjust the data in your Google Sheet or the prompt to ensure accurate and helpful responses.

Step 4: Deploy ChatGPT for Onboarding

Integrate ChatGPT into Your Communication Platforms

Deploy the chatbot on Slack, Microsoft Teams, or other communication tools to assist new hires in real-time.

Monitor and Improve

Gather feedback from new employees and improve the chatbot by updating data or refining the prompt.
