How to use Google Docs Suggested Edits Changes Mode, Accept or Reject Suggestions?

Google Docs allow you to suggest edit changes to a document when you’re collaborating on a document with others, without replace the original text before accept or reject by document’s owner. Reviewer now suggests edits right within the doc instead of only in the comment box. If you look up at the top right of Google Docs window while viewing your document, you’ll see your current state in one of the three below:

  • Editing: Allow you to type, add and edit documents directly. You can then share your work with any of peers.
  • Suggesting: Allows editor to make suggestions for changes to the document without deleting the author’s original work. Basically tracks your changes edit.
  • Viewing: Reading or printing view of documents to make sure all mistakes have been changed and edited. Suggestions and comments are hidden and you can’t edit document in Viewing mode.

Google Docs Suggesting mode allows anyone who can edit the document to suggest edits to the document owner. The owner can accept or reject edits.

Assign comment permission

If you don’t see the option for Editing, Suggesting or Viewing, you have view only access to the document and you should ask the document’s owner to give you the “Anyone with the link can comment” permissions in order to suggest edits.

  1. Open the file you want to share.
  2. Click Share in the top-right corner.
  3. Add the email addresses for the people you want to share with in the text box.
  4. Click drop-down menu next to the text box and select Can comment.
  5. Click Done.

People who have permission to edit the document can also suggest edits by switching from Editing to Suggesting mode in the top-right corner of document.

Suggest changes to a document

  1. Switch to Suggesting Editing mode. In order to suggest changes to a document, click Editing > Suggesting as editing mode in the top right corner.Google Docs Editing Mode
  2. Alternatively, click on View > Mode > Suggesting to switch to Suggesting mode.Switch to Suggesting mode via View menu.
  3. You’ll know when you’re in Suggesting mode when pencil icon with green background replaces the editing icon.Google Docs Suggesting mode
  4. To suggest an edit to existing text. highlight the text you want yo change and type the suggested edit. To suggest adding new text, just type your changes to the document. Any changes you make will appear in a different color than the original text and any text you suggest deleting or replacing will be crossed out with a green line through it.

Comment suggestions

Comment box appears to the right of the document for you to add more detail information explaining your suggestion. Click your suggestion, type in related comment then click Reply.

When you need to use suggested edits or comments?

Use Comments when you want to ask question or make note next to specific section of existing text, editors can reply to your comment or click Resolve to close the comment; Use Suggested edits when you want to suggest new text to add or change in the document, editors can accept your suggestions to add it as final text or reject the suggestions to erase them.

Accept or reject suggestions one by one

Document’s owner will get an email about your suggestions and can decide to keep the edit or remove it from the document by clicking accept (check icon) or reject (X icon) in the top right of the comment:

  • Accept the proposed changes so that the suggested text is added directly to your document.
  • Reject the proposed changes so that the suggested text is deleted.
  • You can see all of the suggested edits that have been accepted or rejected in your document by clicking Comments in the top right corner of the document.

Alternatively, Document’s owner can perform Accept all or Reject all suggested edits.

  2. A box will appear in the top right.

  4. Click Accept all or Reject all.

Suggest changes to a file using Android

  1. Open document in Google Docs app.
  2. Tap More… > Suggest changes.
  3. Make a suggestion. When you are finished, tap Done.

Accept or reject suggestions using Android

  1. Open document in Google Docs app.
  2. To see suggestions, find the highlighted text and tap Suggestion.
  3. Tap Accept or Reject.

Suggest changes to a file using iPhone or iPad

  1. Open document in Google Docs app.
  2. Tap More… > Suggest changes.
  3. Make a suggestion. When you are finished, tap Done.

Accept or reject suggestions using iPhone or iPad

  1. Open document in Google Docs app.
  2. To see suggestions, tap highlighted text > View comment.
  3. Tap Accept or Reject.

Track Changes

Edits made from in Microsoft Office Word document with Track Changes feature turned on will automatically be converted into suggestions in Google Docs. If you download document from Google Docs as .docx format, suggestions will be shown as tracked changes in Microsoft Word.
