Introduction

We’re introducing a new way for users to schedule meetings directly from Copilot in classic Outlook for Windows. This update helps users save time by quickly finding availability, reserving rooms, drafting agendas, and sending invitations—all from a simple Copilot prompt or by selecting Schedule with Copilot in the Outlook interface.

This feature is available to users with a Microsoft 365 Copilot license.

When this will happen

  • Public Preview: Rolling out from late January 2026 to late February 2026.
  • General Availability (Worldwide): Rolling out from early March 2026 to late March 2026.

How this affects your organization

Who is affected

Users in your organization who have a Microsoft 365 Copilot license and are using classic Outlook for Windows.

What will happen

Users will see a new Schedule with Copilot option:

  • In the Copilot menu in Outlook (top-right corner of the window).
  • Screenshot 1 – Experience for users with a Microsoft 365 Copilot license:
  • Screenshot 2 – Experience for users without a Microsoft 365 Copilot license:
  • In Other Actions in the reading pane when viewing an email.

Users can schedule a meeting by typing or speaking a Copilot prompt such as “Schedule a meeting with my team next week.”

Copilot will:

  • Identify available meeting times.
  • Book rooms.
  • Draft an agenda.
  • Send meeting invitations.

The feature is enabled by default for users with an active Microsoft 365 Copilot license.

Existing Outlook and Exchange Online admin policies remain in effect; this feature does not change policy behavior.

What you can do to prepare

  • Ensure users have an active Microsoft 365 Copilot license.
  • Confirm users are on a supported build of classic Outlook for Windows.
  • If your organization prefers not to allow this feature:
    • Remove Microsoft 365 Copilot licenses from selected users as appropriate.
  • Communicate the upcoming feature availability to helpdesk and support teams.
  • If needed, update internal training or documentation.
