Microsoft Word sometimes feels overwhelming, but I’ve found a few easy changes that help me work faster and with less stress. I want to share these steps because they make my day smoother, and I think they can help you too.

I use Microsoft Word a lot. Sometimes, the menus and buttons slow me down. I used to get annoyed searching for the same tools over and over. Then, I learned how to make Word fit me better. Here’s how I do it:

Change the Ribbon to Fit What I Need

The ribbon is the big bar with tabs like Home, Insert, and Layout. Each tab has groups of buttons. Some I use all the time, others never. So, I change it.

On Windows

  1. Right-click an empty spot on the ribbon and pick “Customize the Ribbon.” Or go to File, then Options, then Customize Ribbon.
  2. To add a tool, pick it on the left and click Add.
  3. To remove a tool, pick it on the right and click Remove.

I can make a new tab for tools I use most.

On Mac

  1. Go to Word, then Preferences, then Ribbon & Toolbar.
  2. Make sure the Ribbon tab is chosen.
  3. Add or remove tools with the arrows.
  4. Click the plus (+) to make a new custom menu.

This makes the tools I need always easy to find. I don’t waste time hunting for buttons.

Use the Quick Access Toolbar for My Favorite Tools

The Quick Access Toolbar is a tiny row of icons at the very top. It’s always there, no matter which tab I’m on. I put my most-used tools here.

On Windows

  1. Go to File, then Options, then Quick Access Toolbar.
  2. Add tools from the left and remove from the right.

On Mac

  1. Go to Word, Preferences, Ribbon & Toolbar, then Quick Access Toolbar.
  2. Add and remove tools with the arrows.

Now, I don’t have to switch tabs to find what I need. My favorite tools are always one click away.

Make My Own Keyboard Shortcuts

I type a lot, so I want to keep my hands on the keyboard. Some tools don’t have shortcuts, but I can make my own.

On Windows

  1. Go to File, Options, Customize Ribbon.
  2. Click the Customize button next to keyboard shortcuts.
  3. Pick a category and a command.
  4. Click in the shortcut field and press the keys I want.
  5. Click Assign to save it.

On Mac

  1. Click Tools, then Customize Keyboard.
  2. Pick a category and command.
  3. Press my new shortcut.
  4. Click Assign.

Now, I can do things faster without using the mouse. This saves me lots of time.

Hide White Space When Writing Drafts

When I write long documents, big white spaces between pages make it hard to see my work. I turn them off so my text flows without breaks.

On Windows

Go to File, Options, Display.

Uncheck “Show White Space Between Pages in Print Layout View.

On Mac

Go to Word, Preferences, View.

Uncheck “White Space Between Pages in Print Layout View.”

This way, I see more text on the screen and scroll less. It feels less cluttered.

I used to feel annoyed by Microsoft Word. Now, with these changes, I feel more in control. I get more done and feel less stuck. If you try these steps, you might find Word is easier and less frustrating too.
