When collaborating on a digital file, you need the right settings to ensure your partner can actually make the necessary changes. Google Workspace provides specific access levels to protect your work while allowing teamwork. If you only want someone to read the material without touching it, you give them Viewer access.

However, because this situation requires the colleague to actively rewrite the material, they need the ability to alter the text directly. Assigning the Editor permission gives them full functional access to the file. Once granted, they can type new paragraphs, delete existing sentences, fix typos, and reorganize the layout exactly as if they had created the document themselves. This is the only standard sharing level that permits direct modifications to the content, making it the required choice for hands-on collaboration. Options like “Sharer” or “Publisher” do not actually exist in the standard Google Drive permissions menu.
